I’m back after a little summer break (hello, anniversary trip!) and I’m diving straight into one of my favorite topics right now: How to use ChatGPT in your wedding business. Specifically, why ChatGPT is making you sound like a stiff, robotic version of yourself and how to finally fix that.

In this episode, I’m pulling back the curtain on something I built recently that my students have been raving about. I built a custom GPT for The Planner’s Playbook to help them define and refine their brand voice. Hey there friends, welcome back to the Power and Purpose podcast. It's me, your host Candice, and I hope that you had a great July. We took a little mini break here on the show. I traveled, I did great things, I celebrated my anniversary with my husband, and I'm officially back in my office and excited for all new episodes over the summer and fall season. We have a lot of really exciting content pieces lined up for you, and I'm just thrilled to start things off.

With a little AI conversation about chat GPT or really any AI tool that you might be using like Claude or some of chats competitors, how you can make any AI software that you're using to write for you or speak for you to sound more like you. Now, recently I built a very special GPT. And if you're not sure what that is, let me just explain what a GPT is. A GPT is a customized

specialized chat that someone can train on various methods, on their own opinions, their research, their approach, their strategies, and it's all baked into this chat that can then help you achieve or accomplish something. So for instance, I created a special GPT for the planners inside my program, The Planner's Playbook.

and also for the women inside my mastermind, Wedding Pro Insiders. And this GPT was created with my 10 plus years of experience as a coach and my nearly 20 years of experience in the wedding industry. All my research, all my knowledge, all my strategies were baked into this GPT around brand voice and copywriting. And I created this GPT to help

my students define their brand voice. And the feedback that we have gotten from this GPT is business changing. My students have finally figured out how to make AI not only sound like them, but almost make it virtually undetectable when they're responding to emails, creating social media content, writing blog posts,

or doing whatever it is that they're using chat GPT to do. And so in this episode, I want to help you just like I've helped my students and kind of walk you through how I developed this GPT, how you can start to create your brand voice inside chat so that anything that you create within chat or any kind of AI software is really reflecting your brand voice. And it can really become

a partner, an assistant for you so that you can get a lot more done faster so you have more time to serve your clients. First, what I want to talk about before I share with you the method of establishing your brand voice in chat GPT so that you don't sound like a robot is I want to talk about where most people get it wrong because I think if you can understand how you're using it incorrectly,

or why AI is feeling off when it writes for you, then you will understand how to do things better. Much like how I teach inside my course, The Client Cocktail, if you know how to repel the wrong clients, you're going to attract the right, which is the promise of that course. I wanna share with you how AI's writing is feeling off. The first thing that you might be doing is you're using prompts that are just too vague. The more that you give,

any AI tool that you're using, the more context, the more instruction, the better the outcome. So just like anything in life, inputs are going to affect outputs. It could just be that you're using the wrong prompts and they're too vague. Second, you're not giving chat a clear tone or any context. Context is so important. And if you have memory turned on inside chat,

It is going to remember and have context throughout all of your conversations. And it gets smarter and better and better and better at understanding you, who you are, your values, what you stand for, but also who your ideal clients are, who you are here to serve, the services you offer, the price point you're offering those services at. And so if you're not giving chat a clear tone or context to write from,

It's going to default to its normal writing style, which is corny. Super duper corny. Like, yes, queen. Nobody talks like that. Okay. And nobody wants to talk like that really. You've got to give it clear tones and context. Also, it's probably likely that you haven't trained it on your best stuff. And part of what I'm going to share with you today is how to train it.

on your very best stuff. The things that you have written or spoken that really are aligned with your brand, what you stand for, your values, the clients you serve, et cetera. Finally, if your AI writing doesn't sound like you, feels off or worse, it's sounding corny and generic, it's probably because you're starting from the middle and not the beginning. You're jumping into chat and saying, I need an Instagram caption about this wedding at this location, but

You haven't given it any context about that wedding. You haven't started off with the foundation and the framework that you need, not just for that piece of content, but generally throughout everything that you do inside ChatGPT. Now, most people are trying to make ChatGPT guess who they are instead of teaching it who they are.

And if you want better outputs and if you want chat to save you gazillions of hours of time in client communication, marketing, and all the things, you need to teach it who you are and you want it to rely less on the generic-ness that it can output and get more hyper-specific. So let's talk about what we did inside Planner's Playbook with our brand voice GPT.

So inside my program, The Planner's Playbook, I created a brand voice guidelines document for each member. And inside of it, I had them pull examples of their very best work. I just referenced to you that if you're not teaching chat on your very best work, then it's not going to have the right outputs. We started with identifying tone, cataloging phrases that they use.

And dropping in content into this brand voice guidelines document that really sounds like them, either their spoken voice, their writing, their copywriting, copywriting that copywriters they've hired have written for them, verbiage from their website, marketing materials that maybe went viral or had really good reactions.

Literally, there's so many endless possibilities to what you can put inside a brand guidelines document to train chat GPT on your voice. But we compiled all of this information. And then what I did was I built a GPT that would help guide them through this and that would help them to uncover their vibe, their offers, their aesthetic, their philosophy through all the information that they've trained it on.

And now their AI tools are writing like them. It's saving them hours of time, hours of time of procrastination, of analysis paralysis, of second guessing, of imposter syndrome. I have heard my students literally say to me, this going through this and using the GPT that you built literally felt like I was being coached by like a branding expert.

helping me to uncover the uniqueness of my brand voice and how I can leverage that as my superpower in all the things that I do. And it was through this experience that I realized I need to share this with you and I wanna teach you how to train Chachi BT to sound like you. So that was the catalyst for this episode. So let's talk about how to do that. I wanna walk you through a three step.

process. This is where you're going to want to take notes. This is where you may want to bookmark this episode and come back, but this is exactly what I want you to do. The first thing is, is you need to catalog your content. And this is where your BrandVoice guidelines document comes in really handy. You need to start with pieces of content that already sound like you. Captions from Instagram, emails that you've written to clients.

to other vendors, to partners, maybe to other business owners, pitching yourself. Testimonials, what clients say about you reveals so much about the value you provided and the problems you solve for them. Voice notes, website copy, and even transcripts from client calls, which are a gold mine in understanding how you approach everything from onboarding your clients into your business to serving them.

depending on the niche or the different subcategory of industry you're in, to how you advise them, how you are a confident leader in calls. I mean, there is just so much that chat can learn about you from how you lead client calls. And if you're not recording these calls using an AI tool like Fathom, which just happens to be my favorite and what I've been using for about the last two years,

I highly encourage you to please sign up for a note taker app to join you in your Google meets or your Zooms. It's going to not only save you a lot of time debriefing what was discussed, but you can take those chat transcripts and bring them into chat GPT and use it to analyze so much. Okay, so you absolutely should be recording every single call. If you're a HoneyBook user, which

So you can go back through some of your recent client projects and pull those transcripts. What I want you to do is drop all of these things into a document or a folder. And so what you're doing is you're compiling your arsenal

of brand voice, different modalities, different ways your brand voice manifests. And you know what's so great about that is you're giving chat a wide variety of context to pull from and different elements of your brand voice. You're giving chat long form conversations that you have one-on-one with clients, real world elements of your brand voice and how your personality and your approach shows up. But you're also giving it smaller bits and windows into how you show up and communicate.

You're showing it different marketing pieces, captions, reels, blog posts that you've written or written with the help of AI that you really love that you feel like captures the spirit of your work. You're also pulling information from your about page, your home page, your services page, and any other pages on your website that are relevant in your training chat on who you are, what you do, who you serve, and the voice in which you use to describe that. Voice notes.

all different types of content pieces give chat a wide variety to work from. The bigger the variety, the better the output. So you're gonna drop all these into a document or folder. I have to tell you, if it's not something that you would say in a real conversation with a client, it does not belong in this document. So I want you to avoid anything that is surface level or that really doesn't get down to like the brass tacks of who you are.

Anything that is performative or where you put your phone voice on, I want you to eliminate, because that's super vanilla, it's not going to sound like you. I would give chat my podcast transcripts, right? So to train it on how I show up in this space to teach you to help me establish my brand voice. This is me, raw, unfiltered, same thing on coaching calls with students. If I were showing up to meet like,

the Queen of England, I probably wouldn't include that transcript inside of chat, right? It's not me being fully me. I want you to avoid anything where you might water down or tone down your voice. Once you've cataloged all your content, it's time for you to define your tone. And this is where you need to be specific with chat about who you are or who you perceive yourself and your brand to be. Is your tone bold?

Are you cheeky? Are you sassy? Are you poetic? Are you high end? Are you chill but confident? Are you refined? Do you eliminate fluff when you speak? Do you love to use pop culture references in your marketing or in your tone? And if so, what are those pop culture references? You know I love Housewives. You know I love Bravo. And by the way, if you're not watching The Valley right now, I don't know what me and Lindsay from Wildflower, which was

The last episode we uploaded are behind the brand series. If you haven't listened to it, please go and listen. I don't know what we have to do to convince you to watch this show. It's so good. Chat knows that I love Housewives. I love Vanderpump rules. I dislike Jax from The Valley and Vanderpump. It knows my favorite Housewives. I've trained it on all of that. So you need to tell chat about your tone and how you speak, how you show up.

And also in defining your tone, would also encourage you to include what you don't want. So for instance, something that might be common is like no corporate jargon, no overloading with emojis, which chat loves to do. And it's so annoying. And it just looks like you look like a toddler with like all these emojis everywhere. So no corporate jargon, no emojis. I would say if flowery language is not your jam, tell chat to avoid using that, speaking in

Another tip would be to remember that we're an expert but our client isn't. So eliminate any industry jargon or inside speak that a client might be confused by. Once you define your tone, you can then give ChatGPT your voice roles. You can tell it how to structure your copy, tell it about your offers, your audience, your vibe, and then show it the examples that you've wrote.

So you've got this amazing document full of transcripts and your best voice, your voice, your voice of customer, and then you also have tone samples and you bring this into chat GPT and you start feeding it this information to help you to begin to create a brand voice guideline that you'll train chat GPT on. I want you to think of it like this example.

This is kind of like onboarding a new team member into your business. So if you just hired an associate photographer for your business or a designer for your invitation business, you are going to make sure that they understand your business philosophy, your values, the clients you serve, your price points, your services, and you're gonna train them on your brand and what it stands for. You don't just hand them a wedding to go in second shoot or a invitation to design.

without that context, you train them. Chat GPT is officially a part of your team and you need to train it like you would train a team member. If you don't have any team members in your business yet, this is gonna be an amazing experience for you to understand what it's like to train a robot and then you'll learn a little bit of how to train a person. There's definitely differences, but you need to onboard chat into your business like you would a team member.

Now, let me tell you why this is a game changer for you and for us in the wedding industry. mean, when you think about just the progress that AI has made over the last year, it's pretty astounding. And I think that the AI revolution is only going to grow faster and it is absolutely going to rearrange every industry, ours included. But this is such a game changer for you.

being able to train chat on your brand voice because it's going to save you a ton of time and it's going to make your marketing stronger. Where a lot of people would like you to believe that using AI is going to make your marketing weaker. The truth is, is that if you train AI on your brand voice and if you understand what your brand voice really is and who you are, then it's actually going to make your marketing stronger. You're also going to stop procrastinating.

on everything, whether it's that dingleberry email in your inbox that you don't know how to respond to, or the content plan that you on a whim have all this energy to strategize and conceptualize, but when it came time to actually executing it, you disappeared. You literally are like that Homer Simpson gif where you're going into the bush. You're like, where did she go?

Where did they go? They disappeared when it came time to actually create the stuff. It's going to help you because content creation gets infinitely easier, infinitely easier. You won't be pumping out content that sounds ridiculous. And by the way, every day, unfortunately, I scroll Instagram and I see content that sounds very AI and it sounds ridiculous. So this is also a game changer because it's actually going to sound like you.

not a template, not somebody else's brand voice, not what you think you should be saying, but really it's gonna be rooted in who you are and how you show up in this industry and what you believe and what you value. I also think it's going to boost your confidence and visibility and your sales. So that's like a trifecta. If your confidence is boosted, your visibility is boosted, naturally you're gonna become a magnet.

for hopefully the right fit clients, and that's only gonna improve your sales. And while everyone else is out there either on the struggle bus, not using AI or using AI, but sounding like everybody else, you are going to sound like you. And you're going to be able to show up and have high visibility where everyone else is overthinking or burned out.

on content creation and marketing. So this is not about the best hack or the best prompt. All those things are great, but really you have the opportunity to train chat GPT in such a way that you're scaling your voice. mean, and that's like before this came about, before we had this ability with AI, I'm

really sure that you could scale your brand voice. mean, really it was up to you and your brain to think about what you want to say, how you want to market, how you want to show up, how you want to sell, how you want to serve. But now you have a tool that helps you scale your voice so that you can show up like the expert that you are. And that was a big topic in my mastermind retreat.

WPI's retreat, but in the retreat that I went to for my business directly after the one I hosted in Barbados. As thought leaders in our different educational departments, we talked about AI a lot. One thing that we all agree upon is that AI is not going to replace us as thought leaders, but it is going to give us more time to serve people well and to really show up in ways that maybe we

couldn't because we didn't have the time. The same is going to be said for you. If you're feeling any resistance to using AI thoughtfully in your business, I can't sit here and have a conversation about the ethics or the legal implications of AI. That is something that I'm also thinking about. And, you know, this could all come and backfire in our faces. Like Westworld, the bots can take over and we could be like, what do we do now?

But at this point, it's a risk I'm willing to take in order to show up bigger and serve you. Without AI, I don't think I could do all the things that I'm doing in my business as thoughtfully as I'm doing them. And I hope that a part of you can agree with that. have the ability to free up your time so that the human side of you can show up for your clients.
